Job Description

We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. The ideal candidate will be responsible for managing the CEO's schedule, facilitating communication, and ensuring the smooth operation of daily activities. This role requires exceptional attention to detail, strong clerical skills, and the ability to handle confidential information with discretion.

Duties

  • This person will work side by side the CEO - we are a Merger and Acquisitions firm, who's parent is an Executive Recruiting firm, both specializing in the construction industry. There will be travel involved, some last minute.
  • Manage and maintain the CEO's Outlook Calendar, scheduling meetings and appointments efficiently.
  • Serve as the primary point of contact for internal and external communications on behalf of the CEO.
  • Prepare and organize documents for meetings, including agendas, reports, and presentations.
  • Assist in managing the CEO's personal recruiting efforts.

Skills

  • Proficiency in Outlook Calendar management and other Microsoft Office applications.
  • Strong CRM skills with a keen eye for detail.
  • Excellent phone etiquette and communication skills.
  • Experience in office management and familiarity with phone systems.
  • Ability to maintain confidentiality and handle sensitive information responsibly.
  • High level of computer literacy with the ability to learn new software quickly.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proven proofreading abilities to ensure high-quality documentation.

Employee Appreciation and Value

· Competitive salary: $50K - $60K/year DOE

· Quarterly Bonuses$2,000.00 to $4,000.00

· Medical, and dental insurance after 60 days

Qualifications

· 1-2 years of experience in managing a C-Suite or CEO

· Proven knowledge of entire Microsoft Suite

· Strong Social Media Skills

· Associates or Bachelor's degree
